Recording an anonymous contact

Record a Contact (Anonymous) is a tool to record contacts taking only a minimum data set. It can be used to quickly enter contacts for anonymous people onto the system. It can also be used for looking up existing service users on the system. Before Record a Contact (Anonymous) is used it need to be configured to say which fields are to be displayed at the top of the recording screen. To configure the required fields please see Minimum Data Sets.

When selected from the menu you will be taken to the project selection page to specify which service this information is to be recorded against.

Simply click on the appropriate project to be taken to the recording screen.

In the top section labelled 'Enter Details' you will find the configured fields. The name field will be auto populated with Anonymous Client, which will created a record marked as anonymous. If you wish to change this to a named person simply replace 'Anonymous Client' with the persons surname, this will not be marked as anonymous.

The fields can be marked as:

  • Compulsory, must be filled in - Pale red colour.
  • Prompted if not filled in - Pale yellow colour.
  • Optional - No colour (white).

Finding previously recorded anonymous contacts

In some cases, a previously anonymous person will want to register with your service as a non-anonymous client and carry on the case previously started while they were anonymous. In this case, it can be difficult to track down. The easiest way to find one of these anonymous contacts is by using the action list. Circled below are options to narrow down your search, but the most important options are:

  • Action type selection - Set to "All contacts done in the date range"
  • Name - Type in "Anonymous"
  • Date from & to/Days past & future - Set a large enough range to include your contact.
